Purchaser and Administrative Support at the Swedish Parliament Administration

The Swedish Parliament Administration is an authority tasked with facilitating the work of the Parliament. Over 700 politically neutral employees work at the Parliament Administration with many different types of tasks. The Parliament Administration owns and manages the Parliament's buildings. We are now looking for an employee to work with purchasing and administration in the property projects unit.

Your Responsibilities

As a purchaser, you will conduct orders and renewed competition from framework agreements according to the Public Procurement Act (LOU) for the property and service department as well as the security department. You will also conduct direct procurements where no framework agreement exists.

Your role includes assisting with advertised procurements driven by the Parliament Administration's procurement function and coordinating the work for these. You will work with the management of the departments' agreements and contribute to the development of work methods and routines, for example for contract management, orders, and purchases.

Your role also includes functioning as administrative support/project administrator for project managers, colleagues, and managers. This includes administrative tasks such as writing minutes, preparing templates/documents, assisting with archiving, record-keeping, and the release of public documents. You will handle orders for items such as computers, software, IT accounts, and access cards. As administrative support, you will also act as a coordinator for certain issues.

Your Qualifications

You should have the following qualifications:

  • Post-secondary education deemed relevant for the position
  • At least five years of experience in purchasing, finance, or administration
  • Experience in conducting purchases, orders, or direct procurements
  • Experience in writing minutes, memos, investigations, and similar documents
  • Experience in coordinating common operational issues
  • Good knowledge of Swedish, both spoken and written.

It is an advantage if you also have:

  • Experience from public administration
  • Experience from property management
  • Good knowledge of LOU
  • Good knowledge of general regulations in the construction industry (AB, ABT, ABK, and AFF) and AMA
  • Good knowledge of the Office package.

To succeed in this role, you need to have a good ability to structure and plan your work. You are meticulous and can make reprioritizations when new or more urgent needs arise. You are open to change and interested in developing the operations and routines. We will place great importance on your personal qualities, especially your ability to be attentive and to collaborate and communicate well.

The Parliament Administration applies a probationary employment.

The position is classified in a security class, which in this case requires Swedish citizenship and a successful security clearance. We welcome applicants with diverse experiences and backgrounds.
